Refund, Withdrawals & Entry Changes

Withdrawal Date: 13/07/2024


Refunds will be given up to July 13th – minus the non-refundable deposit of £60.  Unless there is a Dr or vet certificate. Please email to info@horse-events.co.uk 

No refunds within the 2 weeks leading up to camp

In the unfortunate situation of the event having to cancel all entries will be refunded in full minus any booking fees

Day 1 starts at 9am – dismounted at the tent (riding by 10am), other 3 days start ridden at 10am.  Finish at 4pm. Last day prize giving so maybe later

Please note that camp is over 4 days. We do not camp overnight, it’s a travel in each day camp.

Every member who has applied to come to camp must have attended 2 PC ridden activities in the current year, this is to help us place you in the correct ride.

The ride list and programme will be put up before camp. Please note you may not be in a ride you are used to as we have more members attend camp.

All rides will meet with their Instructor at their coloured flag on the show field at 9.45am prompt.

If you are down for cross country, come in your cross county kit to be marked for tack and turnout.

NO ONE is on XC on day one morning.

The programme will be emailed prior to camp so you can plan.

There will be a meeting on the first morning of camp at the Gazebo at 9.00am PROMPT for all parents and children.

NO ponies to be unloaded until after this meeting.

ALL children MUST be accompanied by a parent or guardian who must come to this briefing.

• We hope to have a small catering van over lunch times.

Please no individual BBQs.

• There are loos in the field.

All ponies to be taken home at night.

• Please make sure your pony is prepared and fit enough for 4 days at camp.

• Check shoes and trimming

• Ponies must be vaccinated, chipped. Please bring Passport.

• Remember to bring the following: head collar and rope, water bucket, feed if needed, hay net, grooming kit and pony club manual.

• Check that tack fits correctly and is in good repair – correct standard and tagged – pink

• Check that stirrup irons are the correct size for the riders’ feet -7mm each side of boot.

• Do not bring ponies that kick or cough, they will be sent home.

• No ponies are to be tied up to trailers that are not hitched up.

LEAD REIN – All children must be accompanied by a responsible person OVER the age of 18. Leaders (lead rein and assisted) must be over 18.

No younger siblings to be in the arena on foot/prams.

One day(afternoon )will include the camp dismounted games competition

Dress

DRESS CODE – All children should come turned out correctly for inspection – tagged hats, gloves, badge etc. pony club sweatshirts with shirt and tie or navy pony club polo shirts, CFHS soft shell jacket. (you may wear Jackets and plait, but will not gain extra marks).

MEDICAL ARMBANDS (optioinal), LONG SLEEVES (this can be the CFHS xc base layers) and BODY PROTECTORS must be worn by all members when on the XC.

PLEASE NOTE BODY PROTECTORS MUST BE LEVEL 3 Blue 2018 Label

HAT RULE: – For cross-country riding (including Eventing, Tetrathlon, Horse Trials, tests and training); a jockey skull cap, with no fixed peak, must be worn..

Hats must be tagged with the Pink hat tag.

Whip Rule – all short whips must be soft padded

Important Information

PLEASE READ CAREFULLY The Police have asked that NO CARS should be parked on the road to ensure visibility and safety.

This is a Pubic Highway and must be respected as such.

 • PLEASE PARK YOUR/VISITORS CAR INSIDE THE ROPED OFF AREA AND NOT WITH TRAILERS.

 • NO BICYCLES ALLOWED ON THE FIELD. SMALL CHILDREN MUST BE KEPT UNDER CONTROL.

• DOGS MUST BE KEPT ON SHORT LEADS.

• NO BBQ’S (SORRY).

• PLEASE DISPOSE OF LITTER THOUGHTFULLY. THIS IS AN AGRICULTURAL FIELD AND RUBBISH TURNS UP IN HAYLAGE.

 • PLEASE DON’T MUCK OUT YOUR LORRY ONTO THE FIELD

* Please do not let your ponies drink out of any farm troughs

 If you wish to buy your instructor a small gift from the ride– we suggest £1 per rider as a maximum. A hand made card from the children and a bottle of wine or box of chocolates is enough. We do pay instructors very well..

SETTING UP on Wednesday or Thursday before from 530pm times to be confirmed

A REPRESENTATIVE FROM EVERY FAMILY ATTENDING CAMP IS EXPECTED TO HELP SET UP.

THIS DOES APPLY TO EVERY FAMILY!! WE WILL ALSO BE STRIMMING AND FLAGING THE XC COURSE THE WEEK BEFORE SO IF YOU ARE ABLE TO DO THIS PLEASE CONTACT Jodie Gray

CLEARING AWAY This will be before prize-giving on the final day so everyone needs to be involved.

Please remember that the Committee need your help as they too have children and ponies.

 • PARENTS ARE RESPONSIBLE FOR THEIR CHILDREN AND PONIES AT ALL TIMES

• A PARENT/GUARDIAN MUST BE ON THE FIELD DURING CAMP

 • RIDING IS A RISK SPORT AND WE STRONGLY ADVISE THAT A PARENT IS PRESENT WITH EVERY CHILD WHEN THEY ARE ON THE XC COURSE.

(but these parents MUST stay out of the ride area and stand to the side and not interfere with the teaching at any time)

HEALTH & SAFETY The Organiser of this Event has taken reasonable precautions to ensure the health and safety of everyone present. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the Organiser and all the Officials and Stewards.
