In the unfortunate situation of the event having to cancel 50% of your entry fee will be refunded, minus any Booking fees.

Applications this year will be through Horse Events.

Overview

Senior camp is generally geared towards children currently in year 7 and up, depending on experience – please discuss with the camp organisers if you are unsure which camp would be better suited for your child.

1.       All attendees at Camp need to be current HHPC members:

a.       The quickest way to renew your membership is via the Member Portal https://portal.pcuk.org

2.       Payments and the Medical Forms will all be completed via Horse Events as part of your application.

3.       Pony flu vaccinations – Please ensure you get your vet to check your pony’s vaccination record to ensure they comply with the pony club rules. It is necessary to check that their initial course is compliant not just their annual boosters.  Pony club vaccination rules can be found on the pony club website

We have tried to update the format of senior camp a little this year, to keep the focus on being a fantastically fun week for the kids, whilst adding in a little more structure.  We are want to keep the camping element, and have taken the decision that in this day and age, rather than asking parents & teenagers to have the task of policing 30 teenagers, we will outsource camping supervision to professionals.  We are excited to say Jamie King of Mud & Guts, will run the camping activities.  There is a significant cost implication in paying a professional to look after the children, consequently we will only camp on Thursday 25th July.

The riding format of camp will as normal start at 9.30pm and finish at 4pm.  Additional activities will be as follows:

·         Wednesday 24th children who wish to remain after riding will be given supper and we will organize the usual games of British bulldogs / High Jump etc.  We will also organize a colour run and water fight.  Collection will be 8pm.  Children will want to bring a white T-shirt and you might want a change of clothes for the way home!

·         Thursday 25th children who wish to remain will camp, with the evening run by Jamie King.  Tents, supper & breakfast will be provided.  Jamie will keep it fun, and will have the kids build bonfires, and run a number of outdoor activities.

·         Friday 26th for children who wish to remain, we will run the normal games, a pizza van and a Steve Topper pony club disco will follow.  Supper will be provided, pick up will be 10pm.

There will be ice creams for sale after riding each day – so you may want to give your child some pocket money.

We will have a strict sign out policy, any child must be signed out before leaving.  We will also not be allowing any mobile phones on site once the ponies have left and we will collect any phones that are not removed by parents.  Children who need to contact their parents will be able to do so through camp organisers or Jamie King.

Dress

Riding Hats All hats MUST comply with Pony Club Hat Rule. No fixed peaks permitted. Further details available here. Hats must be tagged with a pink PC Hat Tag. If your hat is not already tagged please bring it to Camp Set Up for checking and tagging. Children will be unable to ride without the correctly approved and tagged hat.

Body Protectors Although Pony Club rules state that body protectors only have to be worn for cross country we STRONGLY RECOMMEND that body protectors are worn at all times when riding. All body protectors must meet BETA 2018 Level 3 standard (blue and black label). For more details please see here. page3image1363642608

Stirrups Rule Please note that all stirrups will need to meet the requirements of The Pony Club Stirrups Rule: https://files.pcuk.org/email_resources/2022/The-Pony-Club-Stirrups-Rule-v22.1.0.pdf. Dress and Tack Please make sure you follow the requirements as detailed in The Pony Club Dress and Tack: https://pcuk.org/officials/health-and-safety/dress-and-tack/. We ask that all children wear beige or blue jodhpurs. Please note that any clothing or jackets with hoods are not to be worn for riding. HHPC kit is now available direct from Wreal sports.  Please make sure you order any items you require in plenty of time for camp. More items are being added shortly including baseball caps, gilets and soft-shell jackets.Kit List Please ensure you bring everything your child and pony would normally need during the day.

RIDER

  • Riding Hat (as detailed above)
  • Body protector (as detailed above)
  • Heythrop Pony Club t-shirt / jumper. NO HOODIES
  • Jodhpurs – beige or blue
  • Jodhpur boots and chaps (if worn) or long boots
  • Long hair to be tied back or in a hairnet.
  • Whip / stick, if required
  • Gloves
  • Wellington boots and waterproof coat (if rain is forecast!)
  • Sun cream etc. (if it’s warm and sunny!)
  • Baseball / sun hat
  • 2 refillable water bottles (one in their lunch box and a (named!) one in their ride boxes)

 PONY

  • Hay & hay net
  • Water & bucket (NB. NO WATER ON SITE)
  • Headcollar and lead rope
  • Saddle, girth and numnah (please check for wear and tear)
  • Bridle (please check for wear and tear)
  • Boots (if worn)
  • Neck strap
  • Insect repellent
  • Tack cleaning kit
  • Grooming kit (to include dandy brush, body brush, curry comb, hoof pick, comb, sponge and stable rubber and PLAITING BANDS)
  • Waterproof rug in event of wet weather
  • Fly rug if used

PLEASE ENSURE THAT EVERYTHING IS CLEARLY NAMED

Additional Details

Communication Communication will be predominantly by email and there will be a WhatsApp group set up, this is for the organisers to convey information and is not to be used by anyone else unless there is an emergency. Please provide a number for the HHPC Senior Camp 2024 WhatsApp group.

Help Needed We will contact each family with specific roles / requests for help. This help is critical to making camp work and most people find it rewarding and enjoyable. Roles include stewarding a ride (assisting the instructor and children as needed), providing instructors’ lunches, collecting / distributing buns and drinks at bun break, checking ponies during lunch, collecting distributing breakfast, setting up/ taking down overnight camping, etc. Camp set up will be on Sunday 21st July 2024 at 10am. Final day: Saturday 27th July On the final day parents are welcome to watch their children within their rides, this will be followed by clean-up session and prize giving at 12 pm.

Timings   ·         Arrival time 9am, for 9:30 start with your instructor   ·         Collection time for horses 4pm everyday

Lunch Time   ALL PONIES TO BE UNTACKED WITH HAY AND WATER Please make provision to leave lorries and trailers hitched up during the day, so they can be used at lunchtime. Please note there will be limited shade for the ponies if it is hot weather. Please provide children with a packed lunch and lots to drink. We are going green this year so all children should have 2 refillable water bottles with them that can be kept topped up. We will have a range of fun and educational speakers/activities taking place each lunchtime to entertain the children.

Terms and Conditions

Liability

Save for the death or personal injury caused by the negligence of the organisers, or anyone for whom they are in law responsible, neither the organisers of this event or The Pony Club nor any agent, employee or representative of these bodies, nor the landlord or his tenant, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land, cars, their contents and accessories, or any other person or property whatsoever, whether caused by their negligence breach of contract or in any other way whatsoever. Entries are only accepted on this basis.

Health and Safety

Organisers of this event have taken reasonable precautions to ensure the Health and Safety of everyone present. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the organisers and all the officials and stewards.

Run under the Current years Pony Club Rule Book. Entry is taken as acceptance of these rules.

If you have any questions, please contact us and we can help.  Passports will be checked at camp, so check them now with your vet when there is time to rectify it, the day of camp is too late. 

Hats 

All hats must comply to current Pony Club rules and be tagged before riding. Hat guidance can be found here. https://pcuk.org/officials/health-and-safety/dress-and-tack/Legal Hats will be checked at camp to ensure they comply with the new rules and any child with the wrong or ill -fitting hat will not be able to ride.

Body Protectors

We strongly recommend that body protectors are always worn when riding although pony club rules states that body protectors only have to be worn for cross country.

All body protectors must meet BETA 2018 level 3 standard – blue and black label. Back Protectors will be checked at camp to ensure they comply and any child without the correct protection will not be allowed to participate in cross country.
