We are very much looking forward to welcoming your children to Junior and Minimus camp this year.  This document provides some additional information and guidance to help you prepare for the week at camp.  If you have any questions, please do not hesitate to contact the organisers who will be very happy to help.

Timetable

Daily Timetable – Monday 29th July to Thursday 1st August 2024.   Junior Camp

  • Arrive – 9.15-9.30
  • 9.30  – Rides start
  • 10.45 approx – Bun break
  • 11.00 – Rides continue
  • 12.00 – finish riding, settle ponies for lunchtime – hay and water
  • 12.15 – lunch and activities.
  • 1.15 – Tack up and get ready for afternoon activities
  • 1.30 – Afternoon sessions
  • 3.30 – End of day. Parents to collect, take children and ponies home.

Minimus Camp

  • Arrive – 9.15-9.30
  • 9.30 – Rides start
  • 10.45 – Bun break
  • 11.00 – Rides continue
  • 12.00 – Finish riding, settle ponies for lunchtime – hay and water
  • 12.15 – All welcome to stay for lunch and lunchtime activity.

Lunch time All Ponies to be untacked with hay and water.  There is no water on site so please bring water carriers for your pony. Please provide children with a packed lunch and lots to drink. Please provide 2 refillable water bottles with them that can be topped up – one to be given to their steward for the day and the other one for lunchtime. We will have a range of fun and educational activities taking place at lunchtime to entertain the children.

Dress

Kit List. Please bring everything your child and pony would normally need during the day.

  • Rider
  • Riding hat
  • Body Protector
  • HHPC T shirt/ jumper. NO HOODIES.
  • Jodhpurs – beige or blue
  • Jodhpur boots and chaps (if worn) or long boots
  • Long hair to be tied back or in hairnet.
  • Whip if needed.
  • Gloves
  • Wellington boots and coat if rain forecast
  • Sunscreen if sunny, sun hat/ baseball cap
  • 2 refillable water bottles – named please.

Pony

  • Hay and haynet
  • Water and bucket – NB no water on site.
  • Headcollar and lead rope
  • Saddle, glrth and numnah – please check for wear and tear
  • Bridle – please check for wear and tear
  • Boots if worn
  • Studs if used
  • Neck strap
  • Fly repellent
  • Tack cleaning kit
  • Grooming kit
  • Waterproof rug in event of wet weather.
  • Fly rug if used

Entry information

Overview   Junior Camp is aimed at children in year 2 to those children in current year 6.  Parents are expected to leave their child during the day. Mini Camp is aimed at children up to year 1 (aged 3 years and above on the leading rein or just coming off the lead rein).  A parent/guardian is expected to stay and help supervise their child throughout the week. If you are unsure which camp your child should attend please contact us to discuss. The children will take part in ridden sessions, stable management sessions, working towards pony club tests and other fun activities. Minimus camp is mornings only and Junior camp will be for 4 full days. On the Thursday, Junior camp parents are welcome to come and watch your child / children in the afternoon riding from 1.30 – 3pm.  This will then be followed by COMPULSORY clearing up before prize giving.  We anticipate Junior Camp finishing around 5pm on the Thursday. Minimus camp clearing up will be prior to their prize giving which will be around 1pm. All attendees at camp need to be current HHPC members. The closing date for applications is 31 May 2024   Payments and medical forms will be completed via horse events in this form as part of your application.

Costs Fees for camp are: Junior camp £270 Mini camp £170   There is a £25 discount for second and subsequent children attending either Minimus, Junior or Senior Camp. There has been £10 per child added to the cost of each child this year, to cover the cost of paramedics being in attendance throughout the week.  SIbling Discounts are eligable for siblings when a full priced application has been paid for the eldest child.

Additional Details

Communication Communication will be via email and WhatsApp.  Please provide a number (up to 2 per child) for the HHPC Junior and Minimus WhatsApp group.  This will be both to communicate important information prior to and during camp as well as to send pictures during camp week.  It is IMPERATIVE we have a mobile number for emergencies.  Medical guidelines have recently changed, where it is advised that our on-hand volunteers, (albeit all first aid trained) should attempt to gain permission from a guardian or parent before administering ANY medication from paracetamol to antihistamine even with prior consent.  Please ensure we have a mobile number that we can reach you on, in any event, to ensure we can help your child, should we need to. With this in mind, please remember that the parents organising and volunteering at camp ARE volunteers and are doing so at their own cost and time, please treat them with the respect they deserve, this mindset should be shown to the instructors too. Help Camp is a huge undertaking and can only be run with the help of parents.  All parents will be contacted and you will be allocated a job dependent on your availability.  This could involve setting up camp, stewarding a ride, providing lunch, collecting buns, distributing buns, checking ponies at lunchtime, day to day logistics and clearing up. Camp set up will be on Sunday 21st July 2024 at 10am. On Thursday afternoon there will be the COMPULSORY camp break down which will involve taking down ropes, dressage arenas, loading jumps into trailers and returning them to the storage units.  When everything is cleared away and the DC’s have done a final check of the whole site will there be prize giving for everyone involved in camp.  EVERYONE IS EXPECTED TO HELP PLEASE. Parking of lorries/ trailers. We will provide additional information on arrival and departure times closer to the date. Please make provision to leave lorries and trailers hitched up during the day so they can be used to tie ponies at breaks and lunchtime.

Terms and Conditions

Liability

Save for the death or personal injury caused by the negligence of the organisers, or anyone for whom they are in law responsible, neither the organisers of this event or The Pony Club nor any agent, employee or representative of these bodies, nor the landlord or his tenant, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land, cars, their contents and accessories, or any other person or property whatsoever, whether caused by their negligence breach of contract or in any other way whatsoever. Entries are only accepted on this basis.

Health and Safety

Organisers of this event have taken reasonable precautions to ensure the Health and Safety of everyone present. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the organisers and all the officials and stewards.

Run under the Current years Pony Club Rule Book. Entry is taken as acceptance of these rules.

Hats 

All hats must comply to current Pony Club rules and be tagged before riding. Hat guidance can be found here. https://pcuk.org/officials/health-and-safety/dress-and-tack/Legal Hats will be checked at camp to ensure they comply with the new rules and any child with the wrong or ill -fitting hat will not be able to ride.

Body Protectors

We strongly recommend that body protectors are always worn when riding although pony club rules states that body protectors only have to be worn for cross country.

All body protectors must meet BETA 2018 level 3 standard – blue and black label. Back Protectors will be checked at camp to ensure they comply and any child without the correct protection will not be allowed to participate in cross country.

Pony Flu Vaccinations – Please ensure you get your vet to check your pony’s vaccination record to ensure they comply with the pony club rules. It is necessary to check that their initial course is compliant not just their annual boosters. If you have any questions, please contact us and we can help.  Passports will be checked at camp, so check them now with your vet when there is time to rectify it, the day of camp is too late.  

Dress and Tack

Please make sure you follow the requirements detailed in the pony club dress and tack. We ask that all children wear beige or navy jodhpurs.  Any clothing or jackets with hoods are not to be worn when riding.
