Refunds

Applications can only be accepted from fully paid up members of the Pony Club.  Cancellations made before 1st July will be refunded in full minus £50 deposit, after that date we will refund costs incurred unless we are able to fill your place in which case a full refund will be issued.

Rules

Venue Mostyn farm ride and XC is situated in Tre-Mostyn nr Holywell, Flintshire. They provide safe horse riding on their off road 9km trail along with a professionally built and maintained XC training course. There are also two grass show jump arenas with quality FEI standard jumps.

Any Parents wishing to stay overnight must hold a valid DBS certificate, please read further details below.

Ponies/Horses will be turned out to grass, Mostyn are exploring whether a very limited amount of stabling might be available but that is not confirmed. Please bring electric fencing to ensure ponies are contained with their field mates or individually. There are a very small number of fenced paddocks only available to those ponies where electric fencing is unsuitable. Children over 8 are permitted to share tents with their friends but will be expected to behave appropriately and considerately and may be moved at the discretion of the night watch. Children are expected to stay in their allocated tent/trailer, after curfew, tent swapping or wandering will not be allowed due to safeguarding controls. Camp cost includes camping fee for 1 tent per member, additional tents/caravans etc will incur a £5 per night fee. There will be night-watch people on duty each night of camp to ensure the childrens safety and wellbeing at all times, all committee members hold an enhanced DBS, first aid and safeguarding certificate. Parents are welcome to stay at camp for the duration, under 8s must have a parent or guardian staying overnight. All attending adults are asked to familiarise themselves with the parent/guardian pony club code of conduct again prior to camp. Can I also take this opportunity to remind everyone that pony club camp is strictly NO ALCOHOL and NO SMOKING ON THE PREMESIS this includes within your vehicle/accommodation, any parents or guardians staying overnight at camp must have a valid enhanced DBS certificate, this must be shown to Louise (safeguarding) or applied for via the branch at a cost to the applicant of £10 per application paid via the branch PayPal/BACS before 31st May 2025. There is a large town nearby where provisions can easily be bought however parents are welcome to join the members for meals at a cost of £15 per person per day. Cost There will be a competition for all members on the last day (details TBC). The cost this year is £180. There is a limited number of day spaces at a price of £60 for the day. The camp fee includes all training, stable management, all meals, member camp t-shirt and goody bag . We have some excellent coaches booked for camp including Henry Church Huxley, Clare Williams, Sarah Welsby and Katie Holden.

Payment can be made in full on booking or split into a non-refundable £50 deposit on booking and full balance by the July 1st. Booking is via Horse Events.

Payment should be made in full by 1st July. A refund minus deposit will be given for any cancellation made before the 1st July 2024.

Cancellations made after 1st July will be refunded in full only if your space can be filled. Last minute cancellations and those that can’t be filled will be subject to a deduction of all costs incurred.

Children We put a lot of work into getting the rides right for camp; children find it embarrassing to move groups so we try to get it absolutely right first time. This includes ensuring that children needing to be stretched are in a more challenging ride and those that may benefit from consolidating recent advances are in a ride they are totally comfortable with. We also consider the mix of children’s personalities and their confidence levels. Please put as much detail as possible on your booking form to assist us.

Training will begin at 10am to approx. 4pm each day. Children must be ready to ride at 10am each day, there will be activities in the evenings. We will confirm timings and other relevant instructions in due course. Please remind children that during camp they will be representing the club and that any offensive language or disruptive behaviour will be frowned upon. Children are reminded to please remove all jewellery prior to ridden activities.

Children are not permitted mobile phones between 10am and 4pm, if observed with a phone during this time it will be confiscated for the remainder of the day.

Catering Catering will be provided throughout camp for each attending member within the cost of camp. If you have any dietary requirements please provide those details when booking on Horse Events.

Activities Activities should be available to suit all abilities with emphasis on safety, good instruction, fun and gaining confidence. Please remember that this is not an intensive training week. There will be an award for best turned out rider and pony in each ride to encourage the children to clean their tack at the end of each day. There will be organised outdoor non-ridden activity so please bring appropriate outdoor clothing, trainers/appropriate footwear and a swimming costume. If we go to the beach, it is the responsibility of the parent or guardian to supervise their own child if they are entering water. There will be no trained lifeguard in attendance. Your child and pony must have attended a minimum of 1 ridden training rally in the 12-month period prior to camp, details are to be provided on the application form. Attending rallies prior to camp allows the instructors and DC the opportunity to assess your child and pony and ensure that they are placed in the correct ride. This is particularly important if the child and rider are a new combination or you have a young or inexperienced pony. If there are any equestrian activities you do not wish your child or pony to participate in, (e.g. mounted games, riding bareback/ without stirrups etc), you must highlight it on the booking form. If the instructor wishes to schedule this activity we will try to organise for your child to be moved to a different ride whilst this activity is happening. If this is not possible, we will ensure your child is excluded from the activity. Please note that all instructors have a wealth of experience, but if you wish for your child/pony to be excluded we will respect that.

Ponies/horses All ponies must be vaccinated against Equine Flu in order to attend Camp. Please refer to the Pony Club website for correct vaccination details www.pcuk.org. Ponies will need to have had a flu booster within 12 months prior to Camp. They should not have received any vaccination within 6 days prior to camp.

Your application form will be completed in your Horse Events booking this year. Your vaccination certificate will need to be provided separately on email to anglesey@pcuk.org

Please do not bring very young or inexperienced ponies – ponies under 5 will need special permission from the DC. Ponies who may kick, please wear a red ribbon, or tape. Don’t forget your pony will be ridden twice a day for three days so will need to have been ridden regularly before camp.

Parents Parents are encouraged to allow the yard manager and group leaders to take charge of the children when preparing for and during activities as we like to encourage independence. There will be a coach and an assistant, where possible, allocated to each ride so children will not be left unattended. Younger and less experiences members will understandably require some parental assistance when preparing to ride. Parents are asked to please familiarise themselves with the parents code of conduct which can be found on the pony club website prior to camp and adhere to the advice. Any outside interference during activities is frowned upon, the coaches will ask for your input should it be required. Parents are expected to poo pick arenas when watching activities.

Trailers and Lorries can be left during the day, parked in the designated area.

Booking Please make your booking on Horse Events as soon as possible with deposit as soon as possible – entries close on 1 July 2025. We will endeavour to offer a place for all children booked in by 1 July 2025.

Should any rider require reasonable adjustments to be made to support their participation at the event, please make these known at the time of the entry so they can be agreed and approved in advance of camp.

Photographic Rights

I hereby authorise photography/videos/other images of my child taken by press/outside agencies/ official Pony Club photographers to authorise Pony Club activities to be published in the press and on the internet for publicity purposes. I understand that the Pony Club will select photographs for publication with care and respect for those shown.

Liability: Save for the death or personal injury caused by the negligence of the organisers, or anyone for whom they are in law responsible, neither the organisers of this event or The Pony Club nor any agent, employee or representative of these bodies, nor the landlord or his tenant, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land, cars, their contents and accessories, or any other person or property whatsoever, whether caused by their negligence breach of contract or in any other way whatsoever. Entries are only accepted on this basis.

Health and Safety: Organisers of this event have taken reasonable precautions to ensure the Health and Safety of everyone present. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the organisers and all the officials and stewards.
