Refund, Withdrawals & Entry Changes

Withdrawal Date: 30/06/2024


Full refund up until withdrawal date, after withdrawal date no refunds will be made without a Doctor’s or Vet’s certificate, produced no later than 72 hours after the event. If produced after this, no refund will be given. Refunds, where due after the closing date, are subject to an admin fee of £20.

In the event of abandonment for any reason, refunds will only be available less the cost commitments of the event, when they have been fulfilled, & subject to the discretion of the BRC Area Committee.

If the date of the qualifier is cancelled for any reason, the entries at the closing date will remain.  However, if the qualifier is moved more than 21 days later, entries will be re-opened but late entry fees cannot be refunded.  Eligibility will be considered from the original close of entries.

Entry information

All entries should be made online using www.horse-events.co.uk This is a single booking form process and entries will not be confirmed without payment. For Pony Club entries you will need your membership number and Branch/Centre name to enter a qualifying class. Team entries only for Pony Club members – enter your branch name as the team name Rider and Horse amendments can be made online by logging into your Horse Events account under MY BOOKINGS. Here you can edit your details up until close of entries. No Amendments thereafter. If you need to cancel an entry or change a class before the closing date, or have any difficulties entering online, please email: Info@horse-events.co.uk All entries are subject to a non-refundable booking fee, as stated online. Substitutions. After the closing date substitutions may only be made as per PC Eventing Rules 2024. Entry Conditions
  1. To be run in accordance with Pony Club Eventing Rules (PCER) 2024 and these conditions.
  2. All PC entries will be checked against the Pony Club member database to confirm current membership.
  3. Vaccination Certificates and Passports must be available for inspection & produced on official request – see PCER24. Vaccinations will be checked at the PC event Secretary’s tent prior to registering.e
  4. All Team entries must be supported by a named XC fence judging team of at least two people in order to be accepted by 6:00pm 26th April 2024 . Failure to comply will result in elimination of team. Fence judge team details to be sent to: area5@pcuk.org
  5. In the event of entries being oversubscribed a waiting list will operate. Precedence will be given to PC & BRC members.
  6. All entries will be subject to a non-refundable Booking Fee.
  7. Late entries MAY be accepted at the sole discretion of the Organisers and are subject to a Late Entry Charge of £20.
  8. All competitors must declare to the Pony Club Event Secretary on site, before commencing any phase of the competition,
  9. Number bibs will not be supplied. Riders to collect insert numbers from the Pony Club Event Secretary tent .
  10. Hats must comply with the current Pony Club/BE/BHS standards and Pony Club riders’ hats be tagged prior to commencing any phase of the competition. Long hair to be netted/secured.
  11. No electronic devices to be carried whilst competing except for stop watches at PC90/100/Chairmans Cup/110.
  12. Approved standard body protectors must be worn for the cross-country phase. Air vests, if worn, must be in addition to a body protector & fully deflated or removed if triggered. Competitors wearing a Woof Wear Body Cage EXO must inform the Secretary on declaring and deposit a key with XC medics where appropriate.
  13.  Dressage – whips are NOT allowed in PC 100/Chairmans Cup & PC 110 and gloves must be worn by all competitors.
  14. Show Jumping & Cross Country – whips must be padded
  15. Excessive use of whip anywhere on the showground will result in disqualification.
  16. At all levels, on the cross-country course 3 refusals at a single fence or 4 refusals in total* means elimination. *At PC70 and PC80, competitors with 4 refusals in total, may be permitted to continue at the discretion of the Official Steward.
  17. In all phases a fall of horse and/or rider means elimination.
  18. At PC 90/100/Chairmans Cup/110 competitors incurring more than 24 show jumping penalties will not be allowed to go XC. At PC70 and PC80 this may be permitted at the discretion of the Official Steward. For the avoidance of doubt “Elimination” incurs more than 24 penalties.
  19. Any query about a competitor’s score must be made only at the Event Secretary. No approach may be made to the judge, timekeeper, fence judge or any other official. Only District Commissioners or their appointed representatives are entitled to lodge objections. They must be made in writing to the Event Secretary, addressed to the Official Steward and accompanied by a deposit of £50. Objections must be made within half an hour (i) of the relevant incident or (ii) after the scores are published or (iii) no later than 1 hour after dressage score sheets are released. The Official Steward will give her decision which shall be final.
  20. Photographic Rights – competitors and their parents/guardians are deemed to have given permission for any photographic and/or film or TV footage taken of persons or horses/ponies taking part in Pony Club events to be used and published in any media whatsoever for editorial purposes, press information or advertising by or on behalf of the Pony Club and/or Official Sponsors of the Pony Club.
  21. This event is being run by British Riding Clubs Area 20, incorporating the Pony Club Area 5 Horse Trials Qualifier. For members who are both PC/BRC members wishing to do both qualifiers you are asked to contact Sarah Jackaman on sljackaman@btinternet.com indicating you wish to do both and enter by Horse-Events. You will be required to do a BRC and PC dressage test but only one SJ and XC run. Your scores will be calculated for each qualifier. Only one entry fee is required but a start fee of £15.00 will be due on the day. It is vital that BRC know you wish to do both no later than 1st July 2024. It is your responsibility to ensure you are eligible to enter both under BRC/PC rules.
  22. The organisers of this event may run additional non-qualifier sections if entries allow. Entry fee will be per qualifier. Priority will be given to BRC and PC members entered in their respective qualifiers.
  23. All Dogs must be kept under control and on a short lead at all times. Dog mess must be removed and disposed of Anyone requiring first aid should go to the secretary’s post or first aid point. Stewards will have radio contact in emergency
Qualifiers

This event is a Qualifier for the Horse Events National Unaffiliated SEG & Young Horse Eventing Championships 2024 Incorporating: * Amateur ONLY classes – Riders must meet eligibility criteria to ensure a true amateur class * Open class for young horses – open to all levels of rider with horse 4, 5 or 6 years in their 1st or 2nd year of eventing. * Schools Equestrian Games Eventing Championships – the Prestigious Schools Eventing series to find the Schools eventing champions. Prizes & Prize Giving

Presentation Ceremonies will be dismounted. Appropriate dress and hats to be worn. Rosettes to 6th place (Teams and Individuals) and for Best Dressage in each section. Additional rosettes to PC riders with double clears without time penalties in Classes 4,5 and 6.

LEGAL LIABILITY Save for death or personal injury caused by negligence of the organiser(s) or anyone for whom they are in law responsible, neither the organiser(s) or British Riding Clubs to which these rules apply, nor any agent, employee or representative of these bodies accepts liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land, vehicles, their contacts and accessories, or any other person or property whatsoever, whether caused by their negligence, breach of contract or in any other way whatsoever.

HEALTH, SAFETY & WELFARE:

British Riding Clubs and the Organiser of this event have taken reasonable precautions to ensure the health and safety of everyone present. For these measures to be effective everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the organiser and all the officials and stewards. Should any rider require reasonable adjustments to be made to support their participation at the event, please make these known at the time of the entry in the comments section so they can be agreed and approved in advance of the competition.
