I would like to take this opportunity now to thank all our wonderful volunteers, contractors, Venue Owners and each and everyone of you for helping us run this event.
As you are all aware a huge amount of effort and work has gone into organising the event to ensure we can run to the latest government guidelines and ensure we can provide a safe location for you to compete at.

2. On paying your start fee you will be asked for your supporting person. We will now allow 1 supporting person per horse & rider combination. – STRICTLY NO MORE YOU WILL BE TURNED AWAY

3. After paying your start fee you can access your numbers to download and print – please remember you need to print 2 of each number ideally on white or light coloured paper.

4. On arrival at the event you will pass through our drive through registration. Please have ready your competitor numbers and Start Fee confirmation of payment. If you need to get your hat tagged please have this ready too.


FRIDAY FROM 2PM – Open to both Saturday & Sunday competitors

SATURDAY – Saturday riders can walk the course at anytime.
SUNDAY COMPETITORS Will only be allowed to enter the venue after 3pm on Saturday to walk the course.
Please park in the lorry park – you will need to go through the drive through point.

SUNDAY – All Sunday riders can walk the course at anytime

Additional Event Information

Remember Social Distancing at all times

Loos – there is hand sanitiser at each loo location please sanitise your hands before you enter and before you leave the loo.
We recommend that you all also bring your own hand sanitiser

Hand washing – We do have two hand washing stations with soap and water please use as much as you want. In the event you get to one of these stations and the water is running low please let a member of the Horse Events team know and we will top them up or change the container over.

We will be running to published times please do not try and go out of order.

Show Jumping
– There is a special area where your supporting person must stand when you are jumping in the ring. In the event of a fall this person must approach you. Followed by our paramedics please ensure they know this is their role when you are in the ring

Show Jumping & XC Warm up – these will be stewarded we expect to allow 10 horse in the warm ups at anyone time. This gives you approximately 20 minutes warm up time. There is additional space outside of each ringed warm up for you to use if you feel you need more time.

Objections to be emailed to info@horse-events.co.uk no later than 7pm on the night of the competition.

Final results will be published by 8pm on the day of the competition

The dressage is in digital format and sheets will be emailed to you by midnight on the Monday following the event.

(Only dogs owned by volunteers/officials will be allowed in the competition area)

There will be a food & Coffee trade stand please take rubbish home with you

We are expecting new guidelines to be published by the government on or around the 28th June as long as we can work within these we will be running the ODE as planned.

Supporting Person Information

Currently each Horse & Rider Combination is ONLY allowed to bring 1 additional supporting person with them. (1 horse = 1 person)

Ideally this supporting person should travel in the vehicle to the event with the rider and ideally be able to drive the vehicle and horse home in the event of an accident. (If your supporting person is unable to drive the vehicle you MUST have provisions made to ensure the vehicle and horse can be removed from the venue in the event of an accident. (To Confirm this person will only be allowed onsite in the event of an accident if they are required)

Your supporting person must be available to help the rider alongside medical staff in the event of an accident if required.

No extra people will be allowed onsite other than the rider, and named support person, volunteers & officials. All other people will be asked to leave.

No additional children other than those riding or with volunteers from the same household will be allowed onsite.

Entries and Entry Fees

Please note due to the Increased infrastructure required we have had to increase our entry fees by £5 from previously published. We thank you for your understanding.

All entries are subject to a non refundable booking fee £1.75 per entry

Start fee: £10 payable online – a link to pay your start fee will be with your event times. ALL Start fees should be paid no later than Friday 3rd July at 5pm. (In the event of not being able to attend after paying your start fee this will be refunded)

Late entries may be accepted online if classes are not full an additional £5.00.

On arrival at the venue you will be checked in either via a drive through system, or at a registration point once parked.  Start fees will need to be paid for in advance online and prior to arrival.

Programs & Course maps will be available digitally and a copy the xc course will be located at the XC start.

Competitor Numbers will need to be printed by each competitor which can be downloaded from the website, when paying your start fee and getting your times.

Any person entering the venue must abide by the Government Guidelines with regards to Coronavirus, abiding by the up to date social distancing rule at the time of the event and any additional rules enforced by Horse Events for the event.

Failure to follow these rules you will be asked to leave the site and riders eliminated from the competition and no refund given.

Scoring & Results

All results will be online and available at https://www.horse-events.co.uk/live-results/
Dressage sheets will be electronically emailed to you on the Monday after the event.

There will be no formal prize giving please do NOT wait around for your final results, after you have finished riding we would ask you to leave the venue as soon as you can.

In order for any objections to be made the final set of results will be confirmed at 8pm on the day of the event. If you would like to object or have us check your score you have until 7pm on the day of the competition to do so. Objections must me made to info@horse-events.co.uk or text 07962 251 696.

Rosettes and prizes in kind will be posted.

Withdrawals & Event Cancellation Terms & Substitutions


If substituting either a horse or rider there is a £5 admin charge after the closing date. Changing both horse and rider in the same entry qualifies as a new entry and must be paid in full.
Substitution fees will be payable with online start fees.


Closing date 10 days before the starting date of the competition

Withdrawal date 5 days before the starting date of the competition (preceding Monday by 12 noon)

ALL Withdrawals must be registered by email to: info@horse-events.co.uk. Please note if withdrawing after the closing date in order to obtain your refund we MUST receive a vet’s or doctor’s certificate. No later than the Monday following the event to obtain a refund.

Withdrawal policy depending on date of withdrawal:

  1. Withdrawals for whatever reason before the closing datewill receive a refund minus the £10 admin fee.
  2. Withdrawals after the closing date and before the withdrawal datefor a veterinary or medical reason to the rider, if your place is replaced from our waitlist, will receive a refund minus the £10 admin fee. If we are unable to fill your space a 50% refund is given.
  3. Withdrawals made after the withdrawal datefor a veterinary or medical reason to the rider, are non-refundable unless a replacement from our waitlist is found. In this situation a full refund will be given minus the £10 admin fee.
  4. Withdrawals made 24 hours before the eventstarting for whatever reason are non-refundable

Event Cancellation

As you can appreciate at this time, we cannot insure against cancelling due to Covid 19. In the event of cancellation for any reason all entries will be refunded minus a £15 cancellation charge per entry.


Age of Competitor: Must be over 7 years of age on the date of competition.


Prizes in kind – Rosettes will be awarded to 8th place for individuals

Times & Course Walk

Volunteer – if you can provide us with a volunteer for either day of the event, this would be hugely appreciated.  Those that volunteer get priority entry at any Horse Events Organised ODE.


All horses must be vaccinated
We work on a annual basis.

There must be 6 clear days between any vaccination injection given and the date of the event. – NO EXCEPTIONS WILL BE MADE


There will be catering onsite. Social distancing markers will be marked out for a maximum of 6 people queuing at once. If the queue is larger than this please come back at a different time. Food to be eaten at your vehicle and all rubbish to be taken home and disposed of.

Toilets & Washing facilities

There will be an increase in the number of porta loos onsite to try and reduce usage please do not forget to go to the loo before you leave home. Sanitiser will be available at all loos on the outside. We recommend also bringing your own sanitiser, towels, or wipes.

Hand washing and hand sanitising stations we will be provided throughout the site please use them as many times as you wish. Wash/ sanitise your hands regularly and especially after touching something that has been touched by other people.

All our volunteers and officials will be provided with gloves and masks please bring your own if you wish to wear additional protection.


People must expect to have their photograph taken at many of our events and we reserve the right to publish suitable photographs of those attending, along with the names of members involved. If you do not wish for your photo to be published please inform the secretary at the individual event with your competitor number and your photo will not be published. If you would like an existing published photo to be removed from our Media please email info@horse-events.co.uk and we will do so immediately.

Personal Injury and Equipment Insurance Notice
The venue owner or Horse Events Ltd does not insure the rider, your horse or your tack and equipment. You are always strongly advised to have in place your own adequate personal accident insurance .

The Venue, Horse Events Ltd or anyone involved in the organisation of the event will not be held responsible for any accident, injury or loss to any person or their property however this may be caused. Including Covid 19.

Health and Safety

The organisers of this event have taken reasonable precautions to ensure the health and safety of everyone present. For these measures to be effective everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the rules and instructions of the organisers and stewards/officials.


General Terms & Conditions

General Terms & Conditions

  1. This horse trials will be run under British Eventing competition rules unless stated in this schedule.
  2. It is compulsory that all riders wear hats/helmets up to British Standard Riding Hats conforming to All PAS 015, VG1 – provided they are BSI Kitemarked, European – VG1 – provided they are BSI Kitemarked American –All SEI ASTM F1163 04a onwards and SNELL E2001 Australian & New Zealand – AS/NZS 3838 2006 onwards.
    All Hats must carry a Horse-Events Tag or 2018 Turquoise British Eventing/PC or RC tag
  3. Riding is a risk sport and it is compulsory that all riders wear body protectors to the latest Beta Standard when going Cross Country – we no longer permit the use of BETA Level 3 body protectors with a 2000 label. Air Jackets may be worn but must be worn over a body protector. It is highly recommended you also wear your Body Protector when Show Jumping.
  4. It is compulsory that every person entering upon the Horse-Events venue who is under the age of 18 years of age is accompanied by a responsible adult.
  5. All horses must be vaccinated Horse Events ODE’S work on an annual basis. There must be 6 clear days between any vaccination injection given and the date of the event.
  6. Event stopwatches are allowed for the Cross Country Phase
  7. We strongly advise not to bring your dog to the event site. Dogs but be kept at the vehicle in the lorry park at all times and not bought onto the competition site. A fine of £100 will be implemented for anyone not adhering to this rule. The Only Dogs allowed on the competition site will be those of officials, event volunteers and must be kept on leads at all times.
  8. It is compulsory that horseboxes are not to be mucked out on site.
  9. The Management of the venue & Horse-Events reserves the right to remove anyone from the course at any time without giving a reason.
  10. You note and accept there will be a paramedic, technician, doctor and 4×4 ambulance vehicle on site.
  11. A vet will be present at the event and a farrier will either be present or on call.
  12. The Event may be cancelled without notice. It is recommended that you check the website www.horse-events.co.uk before departing.
  13. All horses/ponies must be 4 years and over.
  14. Fall of competitor in any phase of the event will result in elimination. If competitors fall off in the warmup they must be checked by the doctor before re mounting. All falls must be checked by the doctor before leaving the venue.
  15. Outside assistance is forbidden and will result in Elimination.
  16. Riding horses is a high-risk sport and riders taking part in this event acknowledge this and do so at their own risk and that the organisers and land owners will not be accountable or responsible for any loss, damage or injury to rider, horse or equipment however caused, including Covid-19.

This event is being organised by Horse-Events. Equine Bookings is acting as the booking agent for this event, enabling you to book online, for which you will be charged a booking fee per space which will be added to your cart.

As booking agents, we accept no responsibility for the actual provision of any event for which you purchase event tickets for. Our responsibilities are limited to providing the online platform to enable you to purchase tickets. The booking fee is the separate non-refundable charge we make to you for facilitating the booking. Your contract is held with the Promoter/event organiser.

We only share your data with that of the third party organiser of the specific event you entered. We do not share your data with third parties for marketing purposes. The Organisers of the events published on the Horse Events website have all agreed to the following statement before we published the event and give them access to your data for the purpose of entering their event.

Venue Information

Elmwood Equestrian has over 100 fences from 40cm to 110cm. They specialise in having a huge variety of obstacles, ditches, trakhners, skinnys, a water complex and banks of all sizes, so all abilities are catered for.

A good set of show jumps on grass in a very well maintained grass arena is also available to hire. All their events are organised by Horse-Events from Mini and Open One Day Events through to Combined Training, Hunter Trials and discount cross country days.
